This notice explains how Quays Logistics Ltd uses personal information when you visit our website, request a quote, contact us or arrange collection, packing and shipping.

Who is responsible

Quays Logistics Ltd is the data controller. We are registered in England and Wales, company number 17319129. Our registered office is 27 Clifton Road, Manchester, England, M41 5RU, and our trading address is Unit 16, Westbrook Road Trading Estate, Trafford Park, Manchester, M17 1AY. Information we use

• Your name, email address, telephone number and correspondence.
• Collection and delivery locations, item descriptions, measurements, weight, value, dates, access information and optional photographs.
• Technical information used to deliver and protect the website, including IP address, browser and connection signals, verification outcomes and security records.
• Enquiry references, delivery status and attachment metadata used to manage requests and prevent duplicate sends.

We normally receive information directly from you. If a customer gives us another person's details to arrange collection or delivery, we use those details for that purpose. Only provide information you are entitled to share and let the other person know about this notice. Avoid unnecessary personal details in photos or item labels.

Why we use it

For quotations and services, our lawful basis is taking steps you request before a contract or performing a contract with you. For general enquiries, business contacts and service coordination, we rely on our legitimate interests in responding and operating our services. Our legitimate interests also cover security, preventing spam and duplicate submissions, investigating problems and keeping appropriate business records. We process information to meet legal obligations where applicable, including accounting and tax requirements.

A general enquiry needs your name, email address and message. For a shipping quote, the form also asks you to choose the service and collection method and provide the collection and delivery locations. Photographs and measurements are optional. Submitting an enquiry does not sign you up for marketing.

Optional website analytics

With your consent, Google Analytics processes page visits, browser and device information and approximate location to help us understand website use. Google receives technical connection information when analytics runs. We do not send enquiry fields, photographs or quote references as analytics event data, and omit query strings and fragments from the page addresses we send. Advertising features are disabled. Withdraw consent using Cookie settings at the bottom of any page. Google may process information internationally; see Google's privacy notice and our cookie notice.

Marketing emails

If you tick the optional marketing box on a website form, you consent to Quays Logistics Ltd using your email address to send occasional news, service updates and offers. Marketing consent is separate from your enquiry and is not required to request a quote or use our services.

We record whether you opted in, the wording/version of the consent and when it was submitted so we can demonstrate your choice. You can withdraw consent at any time using the unsubscribe link in a marketing email or by contacting us. Withdrawing consent does not affect service messages about an enquiry, quote, booking, collection, packing, payment or shipment.

When you unsubscribe, we retain the minimum suppression record needed to make sure that address is not added back to marketing accidentally. We do not sell your details to advertisers.

Enquiry records and photos

The website emails your enquiry to our team through Microsoft 365 and attempts to send you an acknowledgement. It also stores your submitted enquiry details, reference and delivery status in the website database, so we can check what happened and prevent duplicate sends after an uncertain result.

Photos are resized and re-encoded in your browser. They are attached to the team email, but not to your acknowledgement. The website database stores attachment metadata and hashes rather than the photo files. Photo copies remain with the team's email correspondence.

Who receives information

Relevant Quays staff and necessary providers for our website, email and business systems may process information. These include OpenAI's Sites hosting service, Cloudflare for hosting and security, and Microsoft 365 for email. To arrange a service, relevant information may be shared with collection, packing and carrier partners, customs or other authorities, and professional advisers where necessary.

Cloudflare Turnstile uses browser and connection signals to distinguish people from automated traffic. Cloudflare also processes signals to improve its security service under its own terms. See Cloudflare's Turnstile privacy notice.

Processing outside the UK

Our technology providers operate internationally, including in the United States, so information may be processed outside the UK. Their data-protection terms describe transfer measures such as adequacy arrangements and approved contractual safeguards. Contact us for information about the safeguards relevant to your enquiry.

How long information is kept

We decide retention by considering whether your request is active, follow-up or a resulting service, legal and accounting requirements, and how long information may be needed to resolve complaints or disputes. Photos follow the relevant correspondence record. Security and delivery records are retained according to their role in preventing abuse, checking delivery and resolving submission problems. Contact us about the retention of a particular enquiry.

Your rights

Depending on the circumstances, you can request access, correction, erasure, restriction or a portable copy of your information. Conditions and exceptions can apply, for example where information must be retained by law. We may need to confirm your identity.

Your right to object: you may object to processing based on our legitimate interests for reasons relating to your situation. Email info@quayslogistics.co.uk or write to our registered office.

You can complain to the Information Commissioner's Office, the UK data-protection regulator. We would also welcome the opportunity to address your concern directly.

Automated checks and cookies

Automated security checks may prevent a form submission. Please call or email us if this happens. The website does not use your enquiry for advertising profiling or automated decisions with legal or similarly significant effects.
